THE RARE VENUES WEDDING NOTEBOOK
Planning accommodation for your wedding guests
Compare event capacity, sleeping places and the journey home.
Make two guest lists
Write down who attends the wedding and who needs accommodation. These are different totals. A venue that welcomes 150 people may sleep only 30; a smaller celebration may fit comfortably within the rooms listed. Start with your actual group rather than the maximum capacity.
Look at bedrooms, not only beds
Ask for doubles, twins, family rooms, shared bathrooms and extra beds to be listed separately. Note any accessibility needs and who prefers a quieter room. The fact that a sleeping total matches your guest count does not establish that the room layout works.
Choose a second base if you need one
Use nearby towns on the venue page as places to investigate. The town data does not confirm available hotels or rooms. Check accommodation directly, then compare its actual journey to the venue. A short distance in a straight line can still involve a longer road journey.
Plan the last trip of the evening
Agree how guests return after the party and who organises the transport. Ask about vehicle access, pickup points and departure times. If guests stay in several locations, write down the route and contact details before sharing the plan.
Explain who books what
Tell guests which rooms are reserved, what they cost, how many nights apply and when they need to book. Make it clear whether the couple or each guest handles payment. Include arrival and checkout times, breakfast arrangements and a contact for changes.
