THE RARE VENUES WEDDING NOTEBOOK

What to look for on a wedding venue visit

Use your visit to see how the whole day would work.

Walk the day in order

Begin where guests arrive. Follow the route to the ceremony, drinks, dinner, dancing and the departure point. Think about anyone carrying a buggy or using a wheelchair as well as the wedding party. Ask to see the toilets and the routes between buildings.

See the indoor version

Ask the venue to show the complete alternative for your guest count if outdoor plans change. Check whether moving indoors changes the meal layout or leaves less space for dancing. Photographs from a previous wedding can help explain a room, but ask which arrangements are available for your own booking.

Check the stay

Visit representative bedrooms and ask how the listed sleeping capacity is divided. Find out which rooms and nights are included. If guests will stay elsewhere, use the visit to understand the pickup point and the final stretch of the journey.

Talk through suppliers and timings

Ask when caterers and other suppliers can arrive, where they unload and what equipment is already on site. Discuss ceremony, dinner and music timings. Make sure the person showing you around explains who will coordinate these details during the event.

Leave with a clear comparison

Record the hire period, included spaces, guest layout, bedrooms, catering arrangements and outstanding questions. Save your favourite venues in a shortlist and compare those points while the visits are fresh. Request any promised changes in writing before relying on them.
